CallReply

Agencies

In a meeting with a client, the agency still answers everyone else

In an agency, project managers and advisers spend their day in meetings, on video calls or at client sites. CallReply replies by text to the calls they miss and gives an overview in the web space.

What changes for the agency

The agency stays reachable. Each adviser's missed calls get a text, and the web space shows the full picture.

Meetings without the phone

The adviser stays focused on the client. Missed calls still get a reply.

Rolling it out to the team

  1. 01 Install CallReply on each phone Each team member on Android installs the app, and texts go out from their own number.
  2. 02 Align the message One shared text signed with the agency's name, in French and English.
  3. 03 Track activity on the web The dashboard shows trends over 7, 30 or 90 days, or a custom range.

Staffing agency: candidates call all day

A temp looking for work often calls several agencies in a row. The one that answers keeps the contact. With CallReply, every missed call gets a text from the agency, and the candidate can reply with their availability. The recruiter picks up the list from history and calls profiles back in order.

Voicemail and call forwarding

A voicemail feature is being rolled out progressively, only where available: the app shows whether it is offered for your country and carrier. It relies on conditional forwarding to a CallReply number: the caller leaves a message, you receive it in the app, and they get a text.

Which agencies is it for?

Marketing and web agencies, where project managers move from workshops to pitches to video calls. A client or prospect who calls gets a reply in the agency's name and knows a call back is coming.

Travel, staffing and home services agencies, where advisers are often in appointments or out of the office. CallReply acts as SMS answering, with no switchboard and no extra line.

Good to know

A reply first and foremost

The text answers someone who contacted the agency: it is not prospecting. Keep the tone informational and include the agency's name. A promotional offer added to it falls under prospecting rules: prior consent and a free opt-out.

The STOP list

Partners, suppliers, contractors, internal numbers: put them on the STOP list. They will never receive a text. The list is managed from the phone and the web space.

Your data

Data hosted in France, with a retention period per kind of data. After that, history keeps dates and statuses without numbers. Contacts sync only with consent; export and erasure from "My data".

Hidden numbers

Calls from withheld numbers cannot receive a text, since there is no number to reply to. They only appear in history.

Frequently asked questions

Do the texts go through a provider?

No. They go out from each team member's phone and SIM. No third-party SMS gateway is involved.

Can we avoid bursts of texts?

Yes. One text per number per day, a daily cap and a minimum gap between two sends are all set in the app.

One team member has an iPhone. What then?

On iPhone, sending is not automatic: CallReply prepares the message in Messages and they tap Send. A Shortcuts-based mode exists depending on the carrier.

Can we contact support?

Yes, through the Support section of the web client space, by ticket.
